The WA College of Agriculture – Denmark manages all contributions, fees, charges and refunds in accordance with Department of Education policies and College procedures. Students are required to pay School Charges and either Day Student Charges or Residential Charges, depending on their enrolment type.

Eligibility for Refunds

Refunds may be considered for the following:

  • Compulsory course charges – where a student has withdrawn from a course or program before significant costs have been incurred.

  • Voluntary contributions – where the contribution has not been fully expended on materials, resources, or activities.

  • Other College services – where services have been paid for but not used (e.g. uniform items not collected, pre-paid services not accessed).

Important Notes

  • Voluntary contributions and subject charges may not be refundable if items or materials have already been purchased, ordered, or partially used.

  • Payments for camps, excursions, incursions, or deposits are non-refundable if the College has already incurred related costs.

  • Refunds will not be issued for short-term absences due to illness, leave, or other personal reasons.

  • In the event of a long-term absence or withdrawal from the College, any refund will be determined based on the portion of unused services and the costs already committed.

Special Circumstances

The College may consider partial or full refunds under special circumstances. Applications must be made in writing to the College and will be assessed on a case-by-case basis, taking into account Department of Education policy, the timing of withdrawal, and the nature of costs incurred.

Processing of Refunds

  • Approved refunds will be made to the original payer unless otherwise agreed in writing.

  • Refunds will be processed within a reasonable timeframe following approval.

  • The College reserves the right to offset any approved refund against outstanding charges or debts.

This policy ensures fair and consistent management of refunds while recognising the financial commitments made by the College to deliver educational and residential programs.
